1.1. These General Terms and Conditions (the “GTC”) govern the participation of teams, players, coaches, members of coaching and support staff, and other accompanying persons in the Future Stars – Easter Cup Brno sports event (the “Tournament”), organized by Future Stars, z.s., Company ID No.: 19783671, with its registered office at Lidická 700/19, 602 00 Brno (the “Organizer”).
1.2. The GTC are binding upon every Client who registers a team or persons for the Tournament and form an integral part of the contractual relationship between the Client and the Organizer.
1.3. The Client means, in particular, a sports club, sports organization, school, or another legal or natural person that registers a team and orders participation in the Tournament or related services.
1.4. The Client is responsible for ensuring compliance with these GTC by all persons participating in the Tournament on its behalf, in particular players, coaches, members of the coaching and support staff, and other accompanying persons.
1.5. The current Tournament regulations, organizational instructions, match schedule, information published in the registration system, and these GTC together constitute the contractual documentation governing participation in the Tournament.
2.1. Team registration becomes binding upon its proper completion in the registration system, approval by the Organizer, and payment of the registration fee, unless otherwise determined by the Organizer.
2.2. The Client is obliged to provide true, complete, and up-to-date information.
2.3. The Client is responsible for the accuracy of the information provided for all registered persons.
2.4. The Organizer may determine a maximum number of teams in individual age categories. Registration may be refused once the relevant capacity has been reached.
2.5. If an age category is not sufficiently filled, the Organizer may modify the Tournament format, combine categories, or offer the Client participation in another appropriate category.
3.1. The participation fee and the prices of individual ordered services are stated in the current price list or order confirmation.
3.2. The Client is obliged to pay all invoices issued by the Organizer within the specified due date.
3.3. Payment shall be deemed made on the date on which the relevant amount is credited to the Organizer's bank account.
3.4. The Organizer may refuse to allow a team to participate in the Tournament if the Client has failed to pay any due amount properly and on time, or as otherwise agreed written via email, WhatsApp or SMS.
3.5. Any bank charges, international payment fees, or other costs associated with payment shall be borne by the Client.
4.1. Accommodation Booking
4.1.1. Accommodation is provided only to the extent properly ordered and confirmed by the Organizer.
4.1.2. The Organizer arranges accommodation through partner accommodation providers.
4.1.3. The specific accommodation facility, room type, and number of persons are specified in the order confirmation or registration system.
4.2. Change of Accommodation Facility
4.2.1. The Organizer reserves the right to change the assigned accommodation facility for capacity, operational, technical, safety, organizational, or other objective reasons. The accommodation selected during registration shall be considered the preferred option, which the Organizer will make every reasonable effort to accommodate.
4.2.2. In such a case, the Organizer shall arrange alternative accommodation of the same or reasonably comparable standard.
4.2.3. A change of the specific accommodation facility shall not in itself constitute grounds for cancellation of the agreement or financial compensation if reasonably comparable alternative accommodation is provided.
4.3. Accommodation Capacity and Rooms
4.3.1. The Organizer guarantees only the capacity specified in the confirmed booking.
4.3.2. The specific room number, floor, building, or exact allocation of persons within the accommodation facility are not guaranteed unless expressly confirmed in writing.
4.3.3. The Organizer may change the allocation of persons within the booked capacity for organizational reasons.
4.4. Conduct at the Accommodation Facility
4.4.1. The Client shall ensure that all persons registered by the Client comply with the accommodation rules and instructions of the accommodation provider.
4.4.2. In particular, it is prohibited to damage property or equipment, move inventory, disturb other guests, or otherwise violate the rules of the accommodation facility.
4.4.3. The Client shall be liable for damage caused by persons for whom the Client is responsible, to the extent provided by applicable law.
4.4.4. The accommodation provider may require payment of damages, a deposit, or other security. The Client shall comply with such requirements.
4.5. Serious Breach of Rules
4.5.1. In the event of a serious or repeated breach of the accommodation rules, the Organizer may require the immediate termination of accommodation for the relevant person or the entire team.
4.5.2. This shall not affect the right of the Organizer or accommodation provider to claim compensation for any damage caused.
4.5.3. If accommodation is terminated due to a breach of obligations by the Client or persons for whom the Client is responsible, the Client shall not automatically be entitled to a refund of the unused accommodation.
4.6. Personal Belongings
4.6.1. The Client and participants are responsible for properly securing their personal belongings.
4.6.2. The Organizer shall not be liable for loss, theft, or damage to participants' belongings to the extent that such liability is not imposed by mandatory provisions of applicable law.
4.6.3. Participants shall secure valuables and high-value items in a manner appropriate to their nature.
5.1. Sports Venue
5.1.1. The Tournament will take place at several sports venues in Brno and its surrounding area.
5.1.2. The Organizer reserves the right to change the venue of a particular match or other part of the Tournament.
5.2. Reasons for Changing the Sports Venue
5.2.1. A sports venue may be changed in particular due to:
a) technical failure or defect,
b) safety reasons,
c) a decision of the owner or operator of the sports facility,
d) force majeure,
e) changes in capacity,
f) organizational reasons,
g) changes to the Tournament schedule,
h) other circumstances that the Organizer could not reasonably foresee or prevent.
5.2.2. In such circumstances, the Organizer shall endeavor to provide a sports venue appropriate to the nature of the Tournament.
5.2.3. A change of sports venue shall not in itself constitute grounds for a refund of the participation fee, provided that the purpose and reasonably comparable scope of the sporting part of the Tournament are maintained.
5.3. Match Schedule
5.3.1. The Organizer is entitled to change the time and venue of individual matches.
5.3.2. The Client and participants are obliged to monitor the current match schedule and organizational instructions.
5.3.3. The current schedule published in the official Tournament information system shall take precedence over any previously published schedule.
5.4. Liability for Damage
5.4.1. The Client shall be responsible for damage caused by its players, coaches, members of the coaching or support staff, or other persons sent to the Tournament by the Client, to the extent required by applicable law.
5.4.2. This includes, in particular, damage to sports equipment, changing rooms, spectator areas, facilities, or other property of the sports venue operator.
5.4.3. The Organizer shall not be liable for loss or damage to participants' personal belongings unless otherwise required by applicable law.
6.1. Catering Orders
6.1.1. Catering is provided only to the extent and for the number of persons specified in the booking.
6.1.2. Catering will be provided through partner restaurants, hotels, catering companies, or other external service providers.
6.1.3. The specific location, time, or catering provider may be changed for organizational, capacity, or operational reasons.
6.2. Change of Catering Provider
6.2.1. The Organizer is entitled to change the partner restaurant or other catering provider.
6.2.2. In the event of such a change, the Organizer shall endeavor to provide a service of a reasonably comparable scope and standard.
6.3. Ordered Meals
6.3.1. The Client shall provide the correct number of persons for whom catering is ordered.
6.3.2. Failure to use an ordered meal due to the participant's absence or for any other reason attributable to the Client shall not automatically entitle the Client to a refund.
6.3.3. Changes to the number of persons receiving catering may only be made by the deadline specified by the Organizer.
6.4. Allergies and Special Dietary Requirements
6.4.1. The Client shall notify the Organizer in advance of all known food allergies and special dietary requirements.
6.4.2. The Organizer shall endeavor to arrange a suitable alternative where this is possible under the conditions of the relevant catering provider.
6.4.3. The Organizer does not guarantee that all individual dietary requirements can be accommodated.
6.4.4. The person providing information concerning allergies or dietary restrictions is responsible for the accuracy and completeness of such information.
6.5. Failure to Attend Catering
6.5.1. If a participant fails to attend an ordered meal without prior notice, this shall not automatically give rise to a right to financial compensation.
7.1. Cancellation terms for individual services are specified in the booking, price list, or current Tournament regulations.
7.2. Unless otherwise specified for a particular service, the following cancellation fees shall apply:
14 or more days before the start of the Tournament – no cancellation fee,
13 to 7 days before the start of the Tournament – 50% of the price of the cancelled service,
6 days or less before the start of the Tournament – 100% of the price of the cancelled service.
7.3. The relevant time for determining the applicable cancellation fee shall be the time at which the written cancellation notice is delivered to the Organizer.
7.4. For services already ordered and paid for, the Organizer may apply costs actually incurred and demonstrably payable, in particular costs for accommodation, catering, sports venue rental, and other third-party services, provided this corresponds to the nature of the booking and the relevant contractual arrangements.
7.5. The registration fee is non-refundable and is therefore not subject to the cancellation terms.
8.1. The Organizer is entitled to change the program, venue, schedule, competition format, or individual services if necessary for organizational, technical, safety, or other objective reasons.
8.2. If the Tournament cannot take place due to force majeure or another circumstance beyond the Organizer's reasonable control, the Organizer shall settle payments taking into account costs already incurred and non-refundable costs, as well as the terms and conditions of third-party service providers.
8.3. The Organizer shall inform the Client of significant changes without undue delay.
9.1. The Client shall:
a) comply with the Tournament regulations and these GTC,
b) ensure compliance with the Organizer's instructions,
c) ensure appropriate supervision of its team members,
d) ensure that the team arrives at matches on time,
e) ensure appropriate travel and health insurance for participants,
f) notify the Organizer of relevant information concerning participants where such information is necessary for the safe operation of the Tournament,
g) pay all ordered services properly and on time,
h) compensate for damage caused by a breach of its obligations to the extent required by applicable law.
10.1. The Organizer may exclude a team or individual participant from the Tournament, in particular in the event of:
a) a serious breach of the Tournament rules,
b) repeated failure to comply with organizational instructions,
c) violent or seriously inappropriate conduct,
d) intentional damage to property,
e) serious breach of accommodation rules,
f) conduct endangering the safety of other participants,
g) failure to pay due amounts.
10.2. Exclusion from the Tournament shall not affect the Client's obligation to pay costs already incurred or compensate for damage caused.
11.1. The Organizer shall be responsible for the proper provision of services directly provided by the Organizer to the extent required by applicable law.
11.2. Where individual services are provided by third parties, liability for such services shall be determined by applicable law and the specific contractual arrangements.
11.3. The Organizer shall not be liable for damage caused by the actions or omissions of the Client or persons for whom the Client is responsible.
11.4. The Organizer shall not be liable for interruption or limitation of services caused by circumstances beyond its reasonable control, including technical failures, decisions of facility operators, power outages, extraordinary events, or other force majeure events, unless otherwise required by applicable law.
11.5. Nothing in these GTC shall exclude or limit the Organizer's liability to the extent that such exclusion or limitation is prohibited by mandatory provisions of applicable law.
12.1. The Client shall notify the Organizer of any identified defects or deficiencies in the services without undue delay.
12.2. Where the nature of the defect permits, the complaint should be made during the Tournament so that the Organizer has an opportunity to remedy the situation.
12.3. The Client shall provide the Organizer with the necessary cooperation in resolving the complaint.
12.4. A complaint submitted after the Tournament must contain a specific description of the defect, the place and date of its occurrence, and any other information necessary for its assessment.
13.1. Official communication shall take place primarily by e-mail, through the Tournament registration system, the official website, WhatsApp, and other communication channels designated by the Organizer.
13.2. The Client shall regularly monitor information published by the Organizer.
13.3. The person listed as the team's contact person in the registration system shall be considered the official contact person for the team.
13.4. The Client is required to designate a contact person at the Tournament venue if the Client is not physically present at the Tournament.
13.5. The Organizer is entitled to provide the Client’s contact details to other parties involved in the Tournament (accommodation providers, sports hall coordinators, catering coordinators, etc.).
14.1. Force majeure means extraordinary and unforeseeable circumstances arising independently of the Organizer's will that could not reasonably have been prevented despite the exercise of reasonable efforts.
14.2. Force majeure may include, in particular, natural disasters, epidemics, pandemics, fires, serious technical failures, power outages, decisions of public authorities, security threats, or other similar events.
14.3. In the event of force majeure, the Organizer may reasonably modify the Tournament program, venue, or scope of individual services.
15.1. The contractual relationship between the Organizer and the Client shall be governed by the laws of the Czech Republic.
15.2. Where the Client is a business entity, the contractual relationship shall be governed by the applicable provisions of Act No. 89/2012 Coll., the Civil Code of the Czech Republic, as amended.
15.3. The provisions of these GTC shall apply only to the extent that they do not conflict with mandatory provisions of applicable law.
16.1. The Organizer is entitled to reasonably update these GTC for individual editions of the Tournament.
16.2. For each edition of the Tournament, the version of the GTC valid and published at the time of team registration shall apply, unless otherwise agreed in writing between the parties.
16.3. If any provision of these GTC becomes invalid or ineffective, this shall not affect the validity of the remaining provisions.
16.4. These GTC shall enter into force on 1.10.2026.
